Go to the 'Te process' tab, and click the document you want to process.
Billit's smart OCR will automatically recognize data from your files and convert your document to an e-invoice. Because OCR technology is never infallable, you will see the original document on the left hand side and the input fields recognized by the OCR on the right hand side. You need to check or correct these fields while processing your document. For receipts, you usually only need to indicate the cost type.
First choose the document type in the top right corner above the input fields. The number of fields you need to fill in differs per document type.
You can choose between an invoice, a receipt or a document. If you choose an invoice, you can indicate whether it's a purchase or sales invoice or an invoice or credit note.
On the right hand side you will see the fields with the data filled in by the OCR. Click in a field to correct it. Now, on the left hand side, select the text on the invoice you want to fill in on the right hand side. Any data you can copy from the left side will turn orange when you hover over it. You can also retype the text.
After checking or completing all info you click 'Save'. Your invoice will now appear in the 'Expenditure' menu. Billit can now link your invoice automatically to a transaction. You can also do this manually.
UBL invoices end up in Fast input by default but because they're structured XML files this is actually not necessary. You can forward them automatically to the 'Income' or 'Expenditure' menu. To enable this, go to the 'Settings' menu in the 'Fast input' section and check the option 'automatically process UBL in Fast input'.
You can also import old sales invoices you created in different software via 'Fast input'. Don't forget to indicate 'Sale' instead of 'Purchase' in the top right corner. If you filled in your IBAN number in your company file Billit usually automatically recognizes sales invoices.
The process is the same as for purchase invoices, but the invoice will appear under 'Income' after saving. From there, you can send it via Peppol.
Did you import a receipt in 'Fast input'? Choose the category 'receipt' at the top and fill in the necessary details. If you upload receipts via the mobile app, they will be processed automatically (unless your account is linked to a bookkeeper's account and your accountant turned off the option).
Receipts are gathered on an invoice per cost type and month and can be found in your expenses. This makes them easier to process. You can take a look at them individually via the tab 'Only receipts' in the 'Expenditure' menu.
You can also import regular documents. If your choose this option, your files are not converted to a UBL format but saved in the 'Documents' menu. This is usefull if you want save documents you want to share with your accountant and which should not be converted to a UBL, such as rental agreements.
